Assessment Sync is a scoring and results platform for judged performance events. This policy covers the website, the web app at app.assessmentsync.com, and the AssessmentSync mobile app. It says what we collect, who can see it, and how to have it removed.

The short version

  • We collect what it takes to run an event: accounts, scores, judge commentary, performance video, and ticket and registration records.
  • What happens inside an event is visible to the people in that event, according to their role. It is not public.
  • We do not sell personal information. The mobile app does not track you across other apps or websites, and it has no advertising.
  • You can delete your account from inside the mobile app, or by writing to us.

What we collect

Your account. Your name, your email address and a password. The password is stored as a one-way hash, so we cannot read it.

Event content. Events, performances, schedules, scores, the moment-by-moment scoring timeline a judge produces while a performance runs, written notes, penalties and score adjustments.

Judge audio commentary. When a judge turns on the microphone, the app records their spoken commentary for that performance and uploads it so the performing group can hear it with their results.

Performance video. When a host or a videographer films a performance in the mobile app, or uploads a video on the web, we store it with that performance. Video filmed in the app includes sound.

Registration, tickets and donations. The name and email of the buyer, what was bought, answers to any registration form the host created, and any files the host asked for. Card payments are handled by Stripe. We never see or store a full card number.

Check-in records. When a ticket is scanned at the door, we record that it was used and when.

On your device. The mobile app keeps you signed in with a token held in the device keychain. Scores and recordings that have not reached our servers yet are kept on the device so nothing is lost without a signal, then sent when the connection returns. A judge's recordings stay on their device for seven days after results are released and are then removed from it.

What the mobile app does not collect. Your location, your contacts, your photo library, or an advertising identifier.

Website analytics. Our websites use Google Analytics and Google Ads measurement to understand how visitors find and use them. These set cookies in your browser. The mobile app does not use them.

Camera and microphone in the mobile app

The app asks for each permission only when you use the feature that needs it.

  • Camera: to scan attendee tickets at check-in, and to film a performance if you are a videographer for the event.
  • Microphone: to record a judge's commentary during a performance, and the sound of performance video.

Nothing is recorded in the background. Recording starts and stops on the scoring and filming screens, where you can see it happening.

Who can see what

  • The host of an event, and anyone the host makes a co-host, can see everything in that event.
  • Judges see the performances they are assigned to.
  • Participating groups see their own results once the host releases them. That includes each judge's name, scores, written notes, audio commentary, and the performance video.
  • Scanners and videographers see what they need for the door or the camera, and no scores.
  • The public sees only what a host publishes on an event page, such as the schedule.

Companies that process data for us

We use service providers to run the platform. They process data on our behalf to deliver their service to us:

  • Stripe, for card payments and payouts to hosts.
  • Cloud hosting and database providers, where the platform runs.
  • A media storage and delivery provider, for audio and video.
  • An email delivery provider, for invitations, receipts and password resets.
  • Automated transcription and AI analysis. When a host requests an AI analysis of a performance, the judges' audio commentary for that performance is converted to text by an automated speech-to-text service, and the scores, transcripts and notes are processed by an AI service to write the analysis. This happens only when a host asks for it.

We do not sell personal information, and we do not share it with anyone for their own advertising.

Recording performers, including minors

Many performers at the events we serve are students. The host of an event decides what is recorded there, and is responsible for having the permission of the people being recorded, or of their parents or guardians, in the way their school, circuit or local law requires. We store and deliver those recordings on the host's behalf, to the people in the event.

Accounts are for the adults who run, judge and direct. The service is not directed at children under 13, and we do not knowingly create accounts for them.

Deleting your account and your data

In the mobile app, open the menu, choose Account, then Delete account. You can also write to us at info@assessmentsync.com from the address on the account and we will do it for you.

Deleting an account removes your name, your email address and your sign-in, signs you out everywhere, and removes you from the events you were assigned to. It cannot be undone.

Scores and commentary you gave as a judge stay with the event, because they are part of another group's results. They remain, shown as coming from a deleted user, with your name removed. To have event content itself removed, ask the host of that event or write to us.

Purchase records are kept for as long as tax and accounting rules require.

Security

Traffic between your device and our servers is encrypted. Passwords are hashed. Access inside an event follows the roles above and is checked on our servers for every request. No system is perfectly secure, and if we learn of a breach that affects you we will tell you.

Your choices

You can ask us for a copy of the personal information we hold about you, ask us to correct it, or ask us to delete it. Write to info@assessmentsync.com. Depending on where you live, the law may give you further rights, and we will honor them.

Changes to this policy

If we change this policy in a way that matters, we will update the date at the top and tell account holders by email before the change takes effect.
